This Privacy Policy explains how CallPilot ("CallPilot", "we", "us") collects, uses, and protects information when you use our AI phone-answering and calling service (the "Service"). By using the Service you agree to this policy.

1. Information we collect

  • Account information — your name, business name, email address, and (if you sign in with Google) your Google profile and avatar.
  • Business content you provide — your business hours, services, prices, knowledge base, scripts, and campaign details used to answer and make calls on your behalf.
  • Call data — phone numbers, call recordings/transcripts, outcomes, and booking details generated when the Service handles a call.
  • Usage & device data — basic logs, IP address, and browser information needed to run and secure the Service.

2. How we use information

  • To provide the Service — answer and make calls, screen and book, and show you transcripts, scores, and reports.
  • To send you notifications you enable, such as booking confirmations by email.
  • To operate, secure, support, and improve the Service.
  • To comply with legal obligations.

3. Google user data

If you choose to connect Google Calendar, we request the Google Calendar (calendar.events) permission so the Service can create, update, and cancel booking events on your calendar. We do not request access to your Gmail or the contents of your inbox.

CallPilot's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we use Google Calendar data only to provide and improve the booking feature you enabled; we do not sell it, use it for advertising, or use it to train generalized AI/ML models; and human access is limited to what you authorize, security, legal compliance, or aggregated/anonymized operations.

You can disconnect Google Calendar at any time from Settings → Calendar integration, or revoke access from your Google Account permissions. Disconnecting deletes the stored Google access and refresh tokens from our systems.

4. How we share information

We do not sell your personal information. We share it only with service providers that help us run the Service (for example, cloud hosting, telephony, email delivery, and the AI voice model), strictly to provide the Service, and when required by law.

5. Data retention

We keep your data for as long as your account is active or as needed to provide the Service. You may request deletion of your account data by contacting us; we will delete it except where we must retain it to meet legal obligations.

6. Security

We use industry-standard measures to protect your data, including encryption of sensitive credentials at rest. No method of transmission or storage is 100% secure, but we work to protect your information and continually improve our safeguards.

7. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. Contact us to exercise these rights.

8. Children

The Service is for businesses and is not directed to children under 16.

9. Changes to this policy

We may update this policy from time to time. We will post the new version here and update the "Last updated" date above.
